Multi-location stock

Warehouses with zones, aisles, and shelves. Vans with their own stock record. Project sites holding allocated equipment. See stock counts, reserved quantities, available units, and total value per location. Transfer between any two locations in a click with a full audit trail. Bulk-create shelving ranges in seconds: a 12-aisle warehouse with 4 shelves per aisle goes in as one step, not 48.

Serial-number tracking

Serial numbers captured at every touchpoint: receiving, picking, stocktakes, returns. Full lifecycle per serial: warranty expiry date, location-change history, service-call records, and status (available, in use, defective, returned, scrapped). "Which serial number is in which project?" becomes a one-second query, not the spreadsheet rebuild most AV businesses still run today.

Project-based allocation

Stock reserved against a project surfaces on the project dashboard. Shortages flag as warnings: the £4,200 processor on a project due in three weeks shows as "0 in stock, 1 needed, 0 on order, action required" the moment you open the project view. Auto-Optimise looks at every project line item, reserves what is available, drafts pick lists for what is ready, and drafts purchase orders for what is missing. One click. Four actions.

Supplier-integrated POs

Purchase orders flow through to the connected distributor. Status, dispatch, and delivery updates flow back. Selected major AV distributors will be connected from 1 June 2026 with the full bidirectional feed; we share the named list on the demo. POs to any other supplier still go out through Specifi (PDF, tracking ID, matched-reply confirmation), just without the live distributor-side feed.

RMAs + stock loans

RMA workflow: condition tracking (defective, damaged, wrong item, DOA), fault descriptions, serial numbers, and the full draft-through-completion lifecycle. Resolve with refund, replacement, or credit note. Stock loans between projects come in three shapes (Loan, Replace, Already On Order), carry urgency tags, and match automatically to incoming POs so a loaned unit doesn't go missing when its replacement lands. On 1 June 2026 the in-module RMA workflow ships; the matching client-portal warranty surface follows after launch.

Bob the AI on inventory

Ask Bob the live inventory question in plain English. "How many Sonos Amp are in stock at the Manchester warehouse?" "What did we use on the Riverside cinema-room project?" Serial tracking ties every unit to a client, a project, a stage, and a date. Warranty claims become a single query on the serial number ("when was this amplifier installed, on which project, which client, how long is the manufacturer warranty"); month-end commission reports become a single query on the project record ("how many serial numbers were dispatched against this client between Q1 and Q3"). The audit trail you used to maintain by hand maintains itself.

Is inventory live on Specifi today?

Inventory and Procurement is in beta as of 2026, shipping broadly on June 1, 2026. A small group of customers are running the module in production, helping us validate serial-number tracking, project-based allocation, and supplier-integrated purchase orders. If running stock is a hard requirement for your business today, tell us on the demo and we will walk through the timeline and what workarounds are in place.

What will inventory include when it ships?

Serial-number tracking from purchase order through installation (so you can answer "which serial number is in which project" without a spreadsheet), project-based stock allocation with shortage warnings, supplier-integrated purchase orders for connected suppliers, and virtual warehouses for multi-location teams. The module ties back to the project management workflow so stock shortages and allocations show up on the project dashboard rather than living in a separate system.

When exactly will inventory ship?

June 1, 2026 for broad release. We would rather ship later and right than ship early and patch for six months, and beta customers are driving the final feature set. This page will be updated if the date moves.

Can I join the beta?

Yes. The closed-beta phase wrapped during Q1 2026 and the module is now in an open-beta phase with broader Specifi-customer access ahead of the 1 June 2026 broad release. Existing Specifi customers whose project mix would materially benefit from running stock through the platform (multi-warehouse teams, integrators carrying high-value rack components serial-by-serial, businesses running stock between vans and project sites) are the natural fit. Apply through the contact page with a brief workflow profile (SKU count, warehouse count, projects per month, current inventory tooling); a Specifi onboarding contact picks up the request and walks you through enabling the module on your account.

What do I do about inventory until it ships?

Two paths. (1) Apply for open-beta access (see "Can I join the beta?" above) and run the module in production today. The beta cohort is running real projects through the platform; the broad-release feature surface is what beta customers are using right now, hardened against real-world AV workflows. (2) If beta access is not the right fit (you carry no stock, you do not need warehouse tracking, you would prefer to wait for the GA-stable broad release), Specifi for CRM, proposals, project management, work orders, invoicing, and the customer portal is fully live today; running a separate inventory tool in parallel until 1 June 2026 is workable, and on-launch day Specifi onboarding helps migrate from the parallel tool's data into the Specifi inventory module.

We would rather walk you through the timeline honestly than sell you a feature pretending it is fully GA.

Will inventory be included in the price, or an add-on?

Included in every plan once it ships, as per Specifi's everything-included pricing model. There will be no per-user inventory add-on fee.

What suppliers will the procurement side connect to?

The same suppliers Specifi connects to today for catalog and pricing will gain full procurement flow on June 1, 2026. Selected major AV distributors are already in the beta. If a specific supplier is critical to your business and you want to check whether they will be in the first release, ask on the demo; we can share the current list.

Does procurement support multi-currency purchase orders?

No. Specifi runs in a single currency per account, and procurement runs in that same currency. POs are raised in your account currency, not the supplier's local currency. If your account base is GBP and you're buying from a German distributor invoiced in EUR, you handle the FX between yourself, the supplier, and your bank. The project cost records what you paid in your base currency. If procurement across currencies is a regular part of your business, Specifi will not capture the FX variance for you today.

What about returns, RMAs, and warranty tracking?

The RMA workflow inside the inventory module IS in the 1 June 2026 release: a draft-through-completion lifecycle with condition tracking (defective, damaged, wrong item, DOA), fault descriptions, serial numbers, supplier contact, document upload, and resolution by refund / replacement / credit-note posting back to the project margin. That part lands on day one.

The fuller post-launch surface, specifically the customer-portal-side warranty + RMA visibility (so a homeowner can log into their portal and see "Bose amplifier serial XXX is currently out for warranty repair, expected back week 38"), is on the roadmap as part of the broader procurement module, with the timeline to follow once the core release is out. We have not committed a public ship date for the customer-portal RMA surface today; we would rather say so than pretend a date we cannot stand behind.

If your business model has high return / warranty volume (residential service contracts on high-end audio kit, commercial installations with extended supplier-warranty SLAs), raise it during sales: warranty-volume signal-strength routes into the same integration-interest tracking that drives roadmap prioritisation.

Can Bob the AI help with inventory?

Yes. Ask Bob in plain English: "How many of this SKU are in stock at the Manchester warehouse?", "What did we use on the Riverside cinema-room project?", "What's outstanding from this supplier this month?"
