This policy (together with our end user licence agreement end user licence agreement and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Information We May Collect From You

Where We Store Your Personal Data

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted. Access to Information

The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

Google APIs

Specifi.io's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Google APIs (Gmail Integration)

Specifi.io's Gmail integration uses Google APIs and complies with the Google API Services User Data Policy, including the Limited Use requirements. We only access, use, store, and share Google user data to provide the features you choose to use within the Specifi.io platform, and never for advertising purposes or for resale.

Data we access (scope-minimised): When you enable the Gmail integration, we may access Gmail data such as message metadata (sender, recipients, subject, timestamps, thread IDs), message bodies, and attachments; and account data necessary for authentication (OAuth tokens, user ID/email). We request the minimum scopes required to deliver the features you choose.

How we use the data:

To provide the Gmail-related functionality you enable (e.g., syncing threads, drafting/sending messages, showing message context, or automation you configure).

To maintain the integration (authentication, error handling, diagnostics).

We do not use Google user data for advertising or unrelated purposes.

Retention & deletion of Google user data:

We do not back up Gmail data.

We only store basic user information required for authentication and account linking.

All Gmail message data (including content and attachments) is processed only as needed to deliver the requested feature and is deleted immediately after processing.

If you disconnect the Gmail integration, all associated Google user data (including tokens) is permanently deleted right away.

Security:

We apply industry-standard security controls (encryption in transit and at rest where stored, access controls, monitoring). If we become aware of unauthorized access to Google user data, we will investigate and notify affected users as required by law.
