Specifi covers the full business workflow of an AV integrator in one subscription. That starts with the CRM (contact management, pipeline, lead scoring), moves through proposal and quote generation, project management, work orders, and the mobile field app, and finishes with invoicing, Stripe payments, and two-way accounting sync. On the customer side, every project gets a branded client portal so the homeowner or end client can see the project, approve change orders, and pay invoices without email threads.

Is the CRM a real CRM, or just a contact list?
A real one. Specifi's CRM includes pipeline management, deal stages, health scoring, inbox sync with Gmail and Outlook so emails automatically attach to the right contact, and website form capture so leads from the marketing site land in the CRM as qualified opportunities. It is not a glorified address book.
How does the proposal engine work?
You build a proposal by selecting products from the catalog (your own products plus any supplier catalogs you are connected to), structure the proposal in rooms, areas, or sections, and send a branded PDF for e-signature. Once the client signs, the proposal flips to a project, carrying all its data (products, costs, labour, scope) into the project management workflow without re-entry.
The catalog covers over 600,000 products today, with supplier catalogs connected directly for live pricing updates on the brands integrators use most.
Is there a mobile app for field techs?
Yes, iOS and Android, built for the field rather than a cut-down browser view. Technicians can see their day's work orders, clock in and out against a job, take photos attached to the project, get client e-signatures on site, and capture completed work for invoicing. The apps are cloud-connected and expect network access for full real-time sync with the office; plan field connectivity accordingly.
What is the customer portal?
A branded, login-protected area where your clients see their project. They can view the approved proposal, track project progress, review and approve change orders, see invoices, pay invoices via Stripe, book service appointments, and message your team. The portal is included free on every plan; most platforms in this space either do not offer one or charge for it separately.
You control exactly what each client sees. Per-item toggles hide specific proposals, projects, or documents. Nothing is visible to the client until you flip the switch.
Does it handle invoicing and accounting?
Invoicing is built in. Invoices can be generated from any proposal or work order, sent branded to the client, and paid via Stripe directly from the portal. Two-way sync with QuickBooks Online and Xero is included at every plan so your accountant sees the same numbers you do, without manual re-entry.
What about project management and work orders?
Every signed proposal becomes a project with a schedule, work orders, assigned field techs, material requirements, and progress tracking. Work orders can be generated in bulk, assigned to technicians with GPS-enabled site addresses, and signed off from the mobile app. Change orders flow through the client portal for approval, and approved changes update the project budget automatically.
Does Specifi have a website builder?
Yes this is the one add on we have. You can publish a branded marketing site that feeds lead forms directly into the CRM. Pages are SEO-friendly, mobile-responsive, and can be customised without code. If you already have a website you are happy with, you can keep it and just use the CRM, marketing, and client-facing pieces of Specifi separately.
What is Echo?
The CRM is your sales engine — pipeline, deals, customer records, every interaction logged against the right contact. Leads from your website or contact forms land here tagged and ready for sales to pick up. It's where your team works day to day. Echo sits alongside it on every plan, included at no extra cost. Echo is your social media hub: link your Facebook, Instagram and LinkedIn accounts, then schedule and publish posts across all of them from a single calendar. That's it — no email campaigns, no marketing automation, no third-party scheduler, no separate subscription.
Does Specifi handle inventory and stock?
Inventory and Procurement is in beta and ships June 1, 2026. Current beta participants are testing serial-number tracking, project-based allocation, and supplier-integrated purchase orders. If running stock is a hard requirement for you today, talk to us before you commit so we can walk through the timeline and what is in place now.
What supplier integrations are available?
The catalog includes over 600,000 products across the brands integrators use most, with selected suppliers connected directly for live price updates and purchase order flow. If a specific supplier is critical to your business and not yet connected, tell us on the demo; we can confirm status or prioritise the connection.
Can I use AI features?
Yes. Bob the AI is an AI assistant that lives inside the Specifi platform on every plan. Today, Bob reads across your business and answers in plain English. Ask Bob "show me the Henderson account", "which proposals have been sitting more than fourteen days", "what's closing this month above twenty-thousand", "who is overdue", "what's my margin on the Riverside project", or "how is supplier coverage on the open work orders this week", and Bob pulls the answer straight from the live data — across CRM, projects, proposals, invoicing, suppliers, and the inventory beta. Bob also generates scopes of work from a saved proposal and drafts customer emails in your tone of voice for you to review. A proactive nudge engine sits on top of that read surface, flagging overdue invoices, stale proposals, unscheduled work orders, and customer-health changes so the team sees them without going looking.
From 1 June 2026, Bob also takes action. With your approval, Bob will create the customer record, raise the draft invoice, book the appointment, allocate the work order, send the follow-up email, file the purchase order, and schedule the discovery call — every write goes through an on-screen approval card before it touches your data, and external sends (emails, payment reminders) always require explicit approval. The same five-layer safety pipeline that ships behind Bob today (input validation, injection detection, write rate limits, tool classification, anomaly detection) gates the write surface ahead of the public ship.
In addition, AI-generated project descriptions pull from the proposal scope so you are not writing boilerplate from scratch. The Bob AI page covers the AI assistant in more detail.
How does Specifi handle data migration from my current tool?
During onboarding, we migrate your contacts, supplier catalogs, price lists. Project structures do not always port cleanly across platforms because data models differ, so the typical pattern is to run Specifi and your current tool in parallel for a few weeks while new projects start on Specifi and old projects finish out on the legacy tool. Our onboarding team walks you through it.
What does support include?
Support is included at every plan. You get access to real humans (mostly ex-integrators), unlimited ongoing training past the onboarding window, and a self-serve help centre. There is no gold tier of support that costs extra.
