Why video proposals close more AV jobs (and how to make one in an hour)

A two-minute video walkthrough closes residential AV jobs at nearly twice the rate of a PDF. Here is the format, the kit and the workflow.

A PDF proposal lands in the client's inbox alongside seven invoices, a school newsletter and a Costa email about a free coffee. A two-minute video proposal lands as a thumbnail of the integrator's face, with a play button, and the implicit promise of attention. Guess which one gets opened.

What a video proposal actually is

It is not a film. It is a two-to-four-minute talking-head walkthrough that sits above the line-item PDF on the customer portal. The client watches the video first, then scrolls to the detail. The video does three things: it confirms you listened, it explains the trade-offs, and it tells the client what happens next.

The format we recommend

  • 0:00-0:20 Greet the client by first name. State the goal of the project in one sentence ("I am quoting you for whole-home audio across six zones, a 75-inch lounge TV and a dedicated cinema room").
  • 0:20-1:30 Walk through the scope visually. Floor plan on screen-share, point at each zone, name the kit and the trade-offs ("we chose the Sonos Amp here because…"). Speak as if the client is sitting next to you, because in their living room, they are.
  • 1:30-2:30 Address the obvious question. Usually it is "why is this more than I expected" or "why is this less than the other quote". Be specific.
  • 2:30-3:30 Tell them what happens next. "If you sign on the portal, we collect the deposit, we book the rough-in for the week of X, and you are watching the cinema room by Y."

The kit you need (you have it already)

A laptop with a decent webcam. A pair of headphones with a built-in mic (AirPods Pro do the job). A quiet office. Loom, Vidyard or any screen-record tool that gives you a shareable link. Total cost: zero, because every AV business already owns this stack.

The workflow inside Specifi

Record the video on Loom. Drop the Loom URL into the Video field on the proposal builder. Specifi embeds it at the top of the customer portal page automatically. The client watches the video, scrolls to the line items, signs electronically and pays the deposit. The whole thing happens in one tab.

Why it works

The data is consistent across every integrator we have shipped it to: a two-to-four-minute video on the proposal page closes residential jobs at 1.6x to 2.1x the rate of a PDF alone. Commercial jobs see a smaller lift because procurement officers do not watch videos, but even there the close-rate moves up.

It is the highest-leverage hour you will spend this week. Record one for your next residential proposal and see what happens.
